TRU’s WhiteBoard and Integration Maps: On Track With eviFile

As part of its broader digital transformation strategy, the TRU East team identified the weekly WhiteBoard and Integration Maps planning process as a key area for improvement. While critical to project coordination, the process was heavily manual and time-consuming. Building on the success of existing eviFile tools, TRU East looked to further streamline operations by integrating automation into the WhiteBoard and Integration Maps workflow.

The Challenge

The TRU East team spent up to 2–3 days each week manually updating WhiteBoard and Integration Maps. This involved duplicating and editing boxes from previous maps, inserting images from a shared library, and accurately placing them across multiple templates. The repetitive nature of this task consumed valuable time, introduced risk of inconsistency, and delayed wider team communication.

The Solution

To solve this, TRU East is working with eviFile to automate map generation by pulling approved work data directly into standardised templates. Boxes and icons will be auto-populated and layered onto maps in set locations, eliminating the need for manual edits. This upgrade is expected to reduce the mapping process to 1 day, while improving accuracy and enabling faster distribution of key project information.
